Accounts Payable Specialist

Association for Energy Affordability (AEA) is a rapidly growing nonprofit energy services and training organization dedicated to achieving energy efficiency in buildings. AEA is seeking a highly organized, detail-oriented and self-driven Accounts Payable Specialist to support the accounting department by ensuring accurate, timely, and compliant processing of accounts payable transactions.

Responsibilities

  • Work with the Sr. Accountant and support daily accounts for payable operations, reviewing, coding, and processing high-volume accounts payable transactions while ensuring proper entry, mathematical accuracy
  • Match purchase orders, receipts, and invoices, ensuring accurate three-way matching and documentation
  • Assist in resolving discrepancies
  • Maintain organized and audit-ready financial records across systems including SharePoint and the folder network
  • Follow established accounting procedures, internal controls, and deadlines to maintain financial accuracy and compliance
  • Communicate effectively with internal team and vendors to resolve invoice discrepancies and payment issues
  • Work cross-functionally with operations, programs, and accounting to support accurate and scalable financial processes

Skills

  • Bachelor's Degree from a 4-year accredited college, preferably in accounting, finance, economics, business administration, or in a related field
  • 1-2 years of prior experience in related finance or accounting support role; experience in small to mid-sized companies with exposure to broader business operations is preferred
  • Proficiency with Microsoft Office, particularly Excel and general business communication tools
  • Experience working with ERP systems; Sage Intacct experience preferred
  • Experiencing using document management systems or virtual filing
  • Must be able to legally work in the country where this position is located without visa sponsorship
  • AEA requires a COVID-19 vaccination for all employees
  • Experience in small to mid-sized companies with exposure to broader business operations

  • Excellent interpersonal and communication skills with the ability to work effectively with internal teams, vendors, and leadership
  • Strong understanding of how accounting functions impact overall business operations
