Key Responsibilities

  • Human Answering Service: Serve as the live, personable front line for a diverse portfolio of clients, including doctors’ offices, hospitals, law firms, property management companies, and plumbing services.
  • Emergency Dispatching: Accurately assess urgent situations and route calls to the appropriate emergency contacts or on‑call personnel without delay.
  • Warm Greeting & Call Handling: Answer inbound calls, emails, and chat messages with a courteous, upbeat tone; identify the purpose of each interaction and guide the conversation toward a resolution.
  • Alarm System Monitoring: Observe and respond to alarm notifications, ensuring timely escalation according to client protocols.
  • Order Entry & Data Capture: Input orders, record detailed notes, and capture essential information using client‑specific scripts and web‑based applications.
  • Message Taking & Transfer: Follow precise client guidelines to take accurate messages, ask clarifying questions, and transfer calls through the computer telephony system.
  • Appointment Management: Schedule, reschedule, and cancel appointments across multiple industries, maintaining up‑to‑date calendars and confirming details with callers.
  • Documentation & Reporting: Log interactions, generate end‑of‑shift reports, and flag any recurring issues that may require process improvements.
  • Team Collaboration: Participate in nightly huddles, share insights with peers, and contribute to a supportive, solution‑focused work environment.

Essential Qualifications

  • High school diploma or equivalent; additional education or certifications in customer service is a plus.
  • Minimum of 2 years proven experience in telephone answering services, call center environments, or related customer‑facing roles.
  • Basic computer proficiency, including comfort with web‑based applications, keyboard navigation, and data entry.
  • Strong verbal and written communication skills; ability to articulate information clearly and professionally.
