Today, arenaflex is searching for a polished, personable, and highly organized professional to join our team as a Remote Customer Service Representative. Position Overview: The Voice of arenaflex

As the first point of contact for many of our new clients, the Remote Customer Service Representative at arenaflex serves as the creator of first impressions. Every phone call, every email, and every interaction reflects the warmth, professionalism, and expertise that define our brand. If you are someone who lights up when helping others, who can manage multiple tasks without breaking a sweat, and who finds genuine fulfillment in guiding seniors through important healthcare decisions, this role is designed for you.

This is a full-time, W-2 employee position with paid on-the-job training. You will be answering inbound calls, assisting existing clients, entering data into multiple online platforms, and providing administrative support to our licensed agents. There is no cold calling, no hard-sell tactics, and no high-pressure sales quotas. Your job is to serve, support, and represent arenaflex with excellence.

Key Responsibilities

  • Answer inbound calls from prospective and existing clients in a friendly, professional, and confident manner, serving as the welcoming voice of arenaflex.
  • Provide exceptional customer service to individuals in the 65+ age demographic, demonstrating patience, empathy, and active listening in every interaction.
  • Enter and update client data accurately and efficiently in multiple online systems, including our CRM, carrier portals, and internal tracking tools.
  • Assist licensed agents with administrative tasks such as scheduling appointments, preparing client files, and following up on outstanding documentation.
  • Handle client inquiries regarding policy information, enrollment deadlines, and general Medicare questions, escalating complex issues to licensed agents as appropriate.
  • Maintain organized records of all client interactions, ensuring data integrity and compliance with HIPAA and other regulatory requirements.
  • Participate in daily team meetings via video chat to stay aligned with team priorities, share insights, and maintain a sense of community despite working remotely.
  • Continuously learn and grow in your knowledge of Medicare products, industry regulations, and best practices in client service.

Non-Negotiable Requirements

To be considered for this role, candidates must meet the following two minimum requirements:

  • Minimum of 5 years of fast-paced office experience. We need professionals who have honed their organizational skills, multitasking abilities, and professional demeanor in demanding environments.
  • Minimum of 5 years at one company in your work history. We value loyalty, dedication, and a demonstrated commitment to long-term employment. Job hoppers need not apply.

  • Excellent verbal communication skills. You must be articulate, clear, and pleasant on the phone, with the ability to explain complex information in simple terms.
  • Overly friendly demeanor. Our clients are often navigating stressful decisions about their healthcare. Your warmth and positivity will set the tone for their experience.
  • Positive, can-do attitude. Challenges are inevitable; how you approach them matters. We need team members who see opportunities, not obstacles.
  • Confidence balanced with humility. You should be self-assured in your abilities while remaining open to feedback and continuous learning.
  • Strong technical aptitude. You must be comfortable navigating multiple software platforms, web browsers, and online tools simultaneously.
  • Patience and empathy. Many of our clients are seniors who may need extra time, reassurance, and guidance.
  • Thrives in a fast-paced, multitasking environment. The ability to switch between systems, manage competing priorities, and maintain accuracy under pressure is essential.

Preferred Experience (Added Bonus)

While not required, candidates with the following backgrounds will receive special consideration:

  • Experience in a fast-paced doctor's office or medical practice, particularly one serving a senior population.
  • Experience in a fast-paced small insurance agency, with familiarity in policy administration, client onboarding, or carrier relations.

Home Office Requirements: Setting You Up for Success

Working from home is a privilege, and at arenaflex, we take it seriously. This is not a role where you can roll out of bed, fire up your laptop in your pajamas, and multitask with childcare in the background. We are looking for dedicated professionals who treat their remote position with the same discipline and focus as an in-office role.

To succeed, you must have:

  • A quiet, distraction-free home office where you can focus on calls and data entry without interruptions.
  • A reliable PC or Mac capable of running multiple browser tabs, video conferencing software, and CRM platforms simultaneously.
  • High-speed internet with a stable connection, as you will be on video chat with the team throughout the workday.
  • The ability to work during Eastern Time Zone hours (8:30 AM to 5:00 PM, Monday through Friday). If you reside in a different time zone, you must be willing to adjust your schedule accordingly.
  • A professional mindset that embraces accountability, collaboration, and clear communication.

Our team operates inside a video chat platform during business hours, which fosters a sense of belonging, enables quick communication, and ensures everyone stays connected throughout the day. Think of this remote position as the same experience as working in an office, just without the commute.

Compensation and Benefits

At arenaflex, we believe in compensating our team fairly and providing meaningful benefits that support work-life balance.

  • Annual salary: $40,000, paid bi-weekly via direct deposit.
  • W-2 employment status: You will be a full-time W-2 employee, not a 1099 independent contractor. Taxes are withheld from each paycheck.
  • Paid on-the-job training: All training is provided, so you can hit the ground running with confidence.
  • Paid Time Off (PTO): Starting immediately, you will accrue 2 hours of PTO per pay period. PTO accrual increases with tenure:
    • After 1 year: 40 hours of PTO per year
    • After 3 years: 80 hours of PTO per year
    • After 6 years: 120 hours of PTO per year
    • After 10 years: 160 hours of PTO per year
