Executive Assistant for a Virtual Production Company in the US (Home Based Full Time)

Job Description ? Provides high-level administrative support and assistance to the CEO, President, Chief of Staff, and/or other assigned leadership staff. ? Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff. ? Arranges travel and accommodations for executives (Ramp - Tim, Travel - Tim + NAB + OPS). ? Schedules and attends meetings on behalf of executives, taking notes and recording minutes. ? Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff. ? Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping. ? Maintains and reviews executive calendars daily and weekly for issues/overlaps, updating the meeting document and sending weekly emails and daily text reminders (Calendar Maintenance / Calendar Doc + Weekly Email). ? Drafts emails and builds up to drafting communications for the leadership team (Email drafts). ? Plans and coordinates All Hands meetings, including organizing food, games, and checking in on slide completion (All Hands Planning). ? Follow up on all small projects, checking in on progress and ensuring accountability. ? Performs additional duties as assigned by executives. ? Performs other related duties as assigned. Skill Set ? This role is open to Filipino citizens residing in the Philippines only. ? At least 4 years of related experience required. ? Excellent verbal and written communication skills. ? Excellent organizational skills and attention to detail. ? Excellent time management skills with a proven ability to meet deadlines. ? Ability to function well in a high-paced and at times stressful environment. ? Adaptable, organized, excellent people skills. ? Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. ? Able to type a minimum of 50 words per minute. ? Extremely proficient with the Google Suite or similar software with the ability to learn new or updated software. ? Prolonged periods sitting at a desk and working on a computer. Apply Job!
