Job Description This is a remote position.

The Managing Director of a legal firm requires a Personal Assistant initially for 2 hours per day to manage admin in her personal and professional capacity. The successful candidate will play a pivotal role in taking ownership of the Director’s personal PA responsibilities, managing them independently to reduce administrative burden and ensure nothing falls through the cracks. This is an ideal role for someone who thrives in a remote environment, enjoys research and problem-solving, and can anticipate needs before they arise. Candidates with a background in travel planning or experience as a travel agent will be particularly well-suited to this position, given the importance of holiday research and bookings. Ideal hours 11am – 1pm but could be negotiable. Hours may increase in time.

Key Responsibilities:

Personal and Executive Support

  • Take full ownership of the Director’s personal PA responsibilities, managing them with minimal supervision.
  • Provide comprehensive diary management, scheduling professional and personal appointments, and ensuring all key dates are captured accurately.
  • Monitor and review children’s school emails, adding relevant events (e.g. term dates, school trips, meetings) into the calendar.
  • Conduct in-depth research to support personal and professional decision-making (e.g. holidays, office spaces, event venues, suppliers).
  • Coordinate family holidays, including researching destinations, creating itineraries, booking flights, accommodation, and transfers.
  • Arrange and manage networking events for the Director, including researching opportunities and handling bookings.
  • Order gifts for both professional and personal occasions, ensuring timely purchase and delivery.

Professional Coordination

  • Support the organisation of legal team events, including quarterly meetings, team socials, and offsites.
  • Liaise with internal colleagues and external partners to ensure all events and bookings run smoothly.

Administrative Support

  • Maintain meticulous attention to detail, ensuring all tasks and key dates are captured and actioned.
  • Manage inboxes, follow up on outstanding tasks, and flag priorities.
  • Handle sensitive and confidential information with discretion.

Requirements Proven experience as an Executive Assistant or Personal Assistant, ideally supporting senior leadership.

Strong background in research, with the ability to source information, suppliers, and options independently.

Excellent organisation and time management skills, with the ability to juggle multiple tasks.

Outstanding attention to detail – nothing is missed or overlooked.

Prior experience in travel booking or as a travel agent is highly desirable.

Confident using Microsoft Office, Outlook, and online booking platforms.

Professional, discreet, and proactive with strong problem-solving skills.

Able to work independently and take initiative without requiring constant direction.
